The Role:
We’re looking for a proactive, organized, and highly reliable Executive Assistant to support our leadership team. This role goes beyond traditional admin support; it’s about keeping the business running efficiently behind the scenes while playing a key role in client engagement and new business development.

The ideal candidate is a multitasker with exceptional communication skills, a keen attention to detail, and a calm, can-do attitude.

Key Responsibilities

Administrative Support

  • Manage calendars, schedule internal and external meetings, and coordinate travel and logistics.

  • Monitor and prioritize inboxes, draft emails, and prepare meeting materials.

  • Take notes during meetings and ensure follow-up actions are clearly tracked and executed.

Client Liaison

  • Serve as a point of contact for clients and partners, ensuring prompt, professional communication.

  • Help coordinate new client onboarding and maintain up-to-date documentation.

  • Anticipate client needs and provide support to ensure a seamless experience.

New Business Support

  • Assist in preparing and submitting new business proposals and RFP responses.

  • Maintain templates and resources for pitch decks, capability statements, and supporting documents.

  • Help track outreach, deadlines, and responses to ensure nothing falls through the cracks.

Team Coordination

  • Liaise with internal teams to facilitate project updates, track deliverables, and flag scheduling or resourcing needs.

  • Support team communications and assist in the preparation of internal reports and documents.

  • Maintain and optimize administrative systems, including shared files, templates, and task trackers.

Qualifications

  • 2–4 years of experience in an administrative, operations, or client service role.

  • Exceptional organizational and time management skills.

  • Strong written and verbal communication abilities.

  • Proficiency with tools like Google Workspace, ClickUp, Slack, and Zoom.

  • Comfortable working independently and handling confidential information with discretion.

Bonus Points

  • Experience supporting an executive or founder in a startup or creative environment.

  • Familiarity with RFP processes or proposal writing.

  • A passion for storytelling, client experience, or communications.
